How to choose a qualified electronic signature for your business?

Since March 4, 2025, VSL-System employees have been using the qualified electronic signature Szafir issued by the National Clearing House.

You can sign agreements with other companies by going to that company in person and signing the agreement there with a pen on paper.

You can also receive an agreement online by email, print it, send back a scan signed by hand with a pen, or send the original signed by hand by post.

Existing ways of signing agreements

Method number 1 is still very much preferred and remains very common. The problem sometimes becomes the distance and the pointlessness of travelling. This is especially visible if your life takes place outside Warsaw and the particular company is based only in the capital. Many people have also moved out of Poland – partly because of work or fully remote business, and partly because of the geopolitical situation. Running a remote business, some people prefer to stay in Spain or Cyprus, because both the climate and Mediterranean cuisine contribute to a longer life.

Living outside Poland, it is of course still possible to print an agreement, sign it with a pen and send it back by post, but it may turn out that a letter costs from 10 to 15 euro and is delivered in 20 days or longer.

Digital signatures

This is where method number 2 comes in – digital signatures.

The simplest and free signature option is the government website:

It is not a terrible solution, but very few companies actually use something like this. It is more or less on the same level as printing the document, signing it by hand, and sending back a scan by email.

A very similar but professional solution is your own digital signature – a qualified electronic signature.

After a short search for such an option online, you will come across the familiar name Certum – familiar if you have ever bought an SSL certificate for a website. Unfortunately, in our opinion this option is terrible. Ordering the set costs about PLN 250 net, but it quickly turns out that to verify your identity – that is, to show someone your ID card – you need to pay another PLN 250+ net. On top of that, you show your ID card to some person from some private company that has no real office, and this person wants to come to your home for over PLN 250 net. Let us note that PLN 250 is the price of a taxi from Modlin Airport to Warsaw, and here we are talking about over PLN 250 just for travel within Warsaw. Besides, why let someone into your flat?

So altogether it is over PLN 500, which is unacceptable.

Employees of VSL-System virtual offices quickly noticed that if someone already uses a digital signature – a qualified electronic signature – it is usually the Szafir signature. This option turned out to be very good, because you only need to spend about PLN 250 net once, not twice.

A set at this price includes (the e-signature set with mini card (SIM)):

– e-signature set with mini card (SIM) and reader valid for 1 year,

– qualified certificate valid for 1 year,

– cryptographic card (SIM format),

– mini reader,

– licence for the Szafir application.

Thanks to this, you can sign any document with legal force equal to a handwritten signature. The net price as of March 3, 2025 is PLN 286 net. The signature is offered by the National Clearing House ( https://www.elektronicznypodpis.pl/ ) and collection of the set together with showing your ID card at pickup is free and takes place in an elegant building.

After activation, you can load files such as PDFs and sign them digitally. The process is simple, and the reader looks durable, although small enough to be lost. It is protected by a PIN, but it is still better to keep it in a safe place.
